Business phone system · UK

Your business number, wherever you are. Every call answered, every message written down.

A phone system for the shop on the corner and the office on the high street. Desk phones, the number on your mobile (an app or a business SIM so it rings on your phone with no app at all), texts on your business number and a receptionist that never goes to lunch.

The OctopushX app. Calls and texts on the business number, from your own mobile. Example business.

What it does

Six things a small business actually needs from its phones

Not a feature list. The six moments in a working week where the phone system either helps or gets in the way.

Your business number on your mobile

The app puts your shop or office number on the phone in your pocket. Customers see the business number, never your personal one.

  • Ring the desk phone and your mobile together or one after the other
  • Step out and keep taking calls, from the van or the school run
  • Move a call from your mobile to the desk when you get back
  • Don't want an app? Put the number in a business SIM instead

Send and receive texts on that number

Customers text the business number and it lands in the app. Reply from your mobile or from the office and it comes from the business, not you.

  • "Your order's ready", "Running ten minutes late", "Can you confirm 2pm?"
  • One shared thread the whole team can see and pick up
  • A text costs a fraction of a call and nobody has to answer it live

A receptionist who never misses a call

When nobody can pick up, the AI receptionist answers in a natural voice, in your business's name. It takes a proper message, books appointments and passes urgent calls straight to you.

  • Tells you who's calling and why before it puts them through
  • Knows your hours, your services and your usual answers
  • Every message arrives by email and in the portal, written out

Every call written down

Voicemails arrive in your inbox as text so you can read them in a meeting. Switch on Call Analysis and every recorded call gets a transcript and a short summary too.

  • Find a call by what was said, not by scrolling through times
  • Card numbers are blanked out before anything is stored
  • See at a glance which calls need following up

Opening hours that run themselves

Set your week once, including lunch and half-days. Bank holidays are already in. Callers out of hours hear a proper message and can leave one.

  • Close early with one button on the desk phone
  • Or type it: "close the shop at 3 today, back Monday 9"
  • It reopens itself. Nothing to remember on Monday morning

Call recording, kept as long as you need

Record every call or just some lines. Play them back in the portal, search by caller or by name and choose how long they're kept: 90 days, a year or seven years for regulated work.

  • Decide per person who can listen; every play is logged
  • Transferred calls are stitched into one recording
  • Staff can review their own calls without seeing anyone else's
On the go

Two ways to carry the business number. One of them needs no app at all.

Plenty of people who work out of a van, a car or a site don't want another app to open, log into and keep updated. So the number can live in the SIM instead.

The app

Your number in an app

Install the OctopushX app on the phone you already have. Best when you want texts, the shared phonebook and the office features in your pocket.

  • Calls and texts on the business number
  • See who else is on the phone, transfer to a colleague
  • Keep your personal number and SIM exactly as they are

Good for: owners, office staff, anyone who texts customers.

No app neededNew

Your number in a business SIM

A SIM with your business number on it. Slot it in and the number rings on your phone's ordinary dialler and dials out from the ordinary keypad. Nothing to install, nothing to open, nothing to stay logged into.

Harbour Bakery · 01903 812440Rings and dials from the phone itself. eSIM in minutes or a physical SIM in the post.
  • Customers see the business number. Your personal SIM stays in the phone next to it
  • Uses every UK mobile network, not one: it picks the strongest signal where you are standing
  • Same voicemail, same opening hours, same recording rules as the desk phone
  • Works across the EU with nothing to switch on

Good for: trades in the van, couriers, agents out on viewings and anyone who has had enough of apps.

A working day

Two businesses, two very different phones

Both example businesses are made up. The features are not.

The shop on the corner

Harbour Bakery

Two owners, three staff, one counter, one number: 01903 812440.

Baking, not answering.

The phones ring in the shop but nobody's front of house yet. The receptionist picks up, takes the order for forty rolls and it's in the inbox before the ovens are hot.

A text on the shop number.

Mrs Patel asks about the sourdough. Sam replies from the app on his mobile in the queue at the wholesaler. It shows as the shop, not his number.

Lunch, without a sign on the door.

Hours are set for a 1 to 2 closure. Callers hear the message and can leave one. The phone doesn't ring during the one quiet hour.

Sold out. Home early.

One press of the key on the desk phone closes the shop. Callers hear "we've sold out for today, back tomorrow at 7". It reopens itself at 7.

Who did we miss?

The missed-call list shows three callers nobody rang back. Two get a text: "Sorry we missed you, what can we get you?"

Call back
The office on the high street

Rowe & Castle Solicitors

Four fee earners, a receptionist, two numbers and a regulator who expects records kept for years.

The first call is before the doors open.

Out-of-hours until 9. The receptionist answers in the firm's name, takes the client's name and matter, and offers a callback slot. The note is on Priya's screen when she sits down.

A client on the phone with a card.

The call is recorded, as every conveyancing call is. When it's transcribed, the card number is blanked out before it's stored. The transcript is searchable by the client's name.

Reception passes a call properly.

Warm transfer: reception tells Daniel who's holding and why before the caller hears his voice. If he's in a meeting, it goes to his voicemail, which arrives in his inbox as text.

Court day for Daniel.

He won't use an app, so the office number is in a business SIM in his phone. His desk phone and his mobile ring together; in the corridor he answers on the ordinary dialler and the client sees the office number.

The week, in one email.

A short report lands with the partners: calls answered, calls missed, who was busiest and the callers nobody got back to.

Wallboards

See the day as it happens, on a screen on the wall

Once there's more than one of you answering, the question changes from "did the phone ring?" to "who's waiting and who's free?" A wallboard answers it at a glance, live on any TV or screen in the room.

  • Calls waiting, longest wait and who's on the phone right now
  • Answered and missed so far today, and the callers still to ring back
  • Pick the tiles that matter to you. A two-person shop needs a different board from a ten-desk office
  • Put it on the office TV with one link, no login on the screen. Hide customer numbers if the public can see it
  • The same numbers land in the weekly report, so nothing on the wall is a surprise on Friday

Everything included

The rest of the phone system, in plain English

The standard things a business phone should do. All included, all set up for you.

Keep your numberBring the number your customers know. It works from day one and the move happens in the background.
Desk phones that arrive readyPlug them in. Names, buttons and your colleagues' extensions are already on them.
"Press 1 for sales"A simple menu in your own recorded voice or a natural-sounding one we make from your words.
Ring the team, not one deskRing everyone at once, take turns or try the experienced staff first. Callers hear music or a message while they wait.
Shared voicemailOne mailbox for "the office" that the team can all see, with a light on every phone when there's a new message.
Voicemail to emailThe recording and the words, in your inbox, minutes after the caller hangs up.
A phonebook for the whole teamCustomers and suppliers in one book, on every desk phone and in the app. Bring yours in from a spreadsheet.
See who's on the phoneLights on the desk phone show who's busy. Pick up a colleague's ringing call from your own desk.
Divert in a hurrySend the office to a mobile for the afternoon. Undo it the same way.
Holiday messagesRecord the Christmas message in November. It plays itself on the day and stops when you're back.
Your own login for each personStaff see their own calls, voicemails and recordings. Nothing else.
Reports by emailWeekly or monthly: calls in, calls missed, busiest hours and the callers to chase.
A live board for the wallCalls waiting, who's on the phone, who to ring back. See the wallboard.
Work from anywhereDesk phone at the office, the app or a business SIM on the mobile or a phone at home. Same number, same voicemail.
Emergency calls done properlyYour address is registered against your number so 999 knows where you are.
Straight answers

The questions every business asks first

What do I actually need?

A broadband connection and a desk phone if you want one. Or just the mobiles you already have, with the app or a business SIM in them. No box on the wall, no engineer visit.

I don't want an app on my phone.

Then have the business SIM. The number rings on your phone like any other call and you dial out from the normal keypad. Your own number and SIM stay as they are.

Can I keep my number?

Yes. Your number is loaded before the move and the system is built around it, so nothing changes for your customers on the day it transfers.

The old landline is being switched off. Does this cover me?

Yes. Traditional phone lines are being withdrawn across the UK. This replaces the line, keeps the number and adds the mobile and text side on top.

Is the AI receptionist going to embarrass me?

It answers in your business's name, sticks to what you've told it and hands anything it isn't sure of to a person. You read every message it takes. Try it on the out-of-hours calls first.

Who sets it all up?

We do. Hours, menus, phones and the app are built for you before anything goes live and changed for you afterwards when you ask. Small changes you can make yourself, in plain English.

What about the recordings and transcripts?

Kept in the UK for as long as you choose. You decide who can listen and every play is logged. Card details are removed before a transcript is stored.
